Team Check-In Requirements & Procedures

Online check-in is required for all teams and opens the Monday before each tournament weekend. This can be done electronically via AES on any device by following these steps:

  1. Go to "My Events"- select event name
  2. Click on "My Teams"
  3. Click "Check-In" (to verify or make changes to your roster)
  4. Scroll to the bottom and click "Verify Roster" once updated
  5. Enter credentials- Name and Phone Number
  6. Click "Check-in"

Coaches will receive a QR Code for entry sent directly to the phone number and email address associated with Head and Assistant coaches on the roster submitted via AES. 

Coaches and spectators will be required to show their ID and QR code upon entry and re-entry. 

The following are required, no exceptions.

  • All rosters must be verified and signed whether online or paper copies.
  • All USAV numbers must be verified (players and coaches).
  • All coaches must be IMPACT and SafeSport certified to be on the bench.
  • Contact information on the roster must be accurate. It will be used for any emergency updates during the event.
  1. Login to Advanced Event Systems (AES) with a Club Director user profile
  2. Under the "Club Director" tab in the top left corner, click "Clubs"
  3. From the "Quick Links" options at the top, choose "Teams"
  4. Find the necessary team and click on the team name.
  5. From the list of events click the 'print' link (far right) located next to the tournament the team is attending. Be sure you are are printing the correct team for the correct event
  6. Double check the roster is correct. If so, print the roster and bring a signed copy to team check-in (only if online check-in was missed)
  7. Repeat these steps for all teams participating in the tournament.

Applied if a team moves divisions after the team has been accepted (before or after the deadline). The Move fee may be waived if the move benefits the tournament at the discretion of the tournament director.

  • Each Bid Tournament will set its own refund policy and clearly state the policy in its entry information. These policies apply to all Bid Tournaments.
  • A team that applies by the deadline date and is denied entry—either because there are too many teams for a division, or because there are too few teams for a division and the division is being eliminated—will receive a full refund of its entry fee.
  • If the division a team applies to is combined with applicants in one or more other divisions to make a division different from the one the team applied for, that team will have the option to play in the new division or withdraw from the Bid Tournament with a full refund of its entry fee.
  • The Bid Tournament will notify any teams affected by an elimination or combination of divisions within 24 hours of the entry deadline.

Drops may or may not warrant a refund, reference the refund policy for full details. If a team wishes to drop from the tournament, email the tournament director. Include the following in the email: 

  1. Team Name
  2. Club Name
  3. Division
  4. Reason for the drop

If weather conditions or extenuating circumstances related to the event become a concern, updates will be published here and on the home page.

Should the event be canceled or interrupted due to acts or threats of war, terrorism, a health risk alert, or other extenuating force majeure circumstances, a team will be refunded their respective full entry fee less $75 for fixed event expenses and less any paid late registration or division move fees. Event policies are tied to those established by the respective governing bodies such as, but not limited to, USA Volleyball, the host venue, and local and federal authorities and guidelines.

Not sure what division your club should play in or what divisions offer bids? Read this page for a breakdown of the divisions offered. Divisions are listed in order from most to least competitive.

The maximum division sizes are subject to change while registrations are monitored before the tournament. These numbers can also be found on AES.

Lone Star Classic is growing, especially in the American division! We will be implementing the following opportunities to help create a better competition for all:

  • Clubs will be limited to 3 teams per American division. However, if a club has teams registered in both the Open and the USA divisions in that age group, the club will be allowed additional American division teams.
  • Example: If a club has 1 team in 15 Open and 1 team 15 USA, the club would be allowed to have more than the allotted 3 teams in the American division.
  • SPACE FOR ALL TEAMS! We have space for all teams registered before the deadline at the event. Once the American Divisions reach capacity, tournament staff will assist waitlisted teams in finding the right level of competition.
  • IMPROVED COMPETITIVE OPPORTUNITY! For teams who are usually considered a 2 seed in a pool, the Club and Select divisions were created. These divisions are ideal for those teams not interested in playing for a bid to the GJNC but are looking for a higher level of competition.

Bid Divisions

The National division are designed to give the most competitive 11s & 12s teams in the country an opportunity to compete and qualify for the National division at the USAV GJNC. One bid can be awarded, dependent on division size (must have more than 8 teams).

The Open divisions are designed to give the most competitive teams in the country an opportunity to compete and qualify for the Open division at the USAV GJNC. Up to 3 bids can be awarded depending on the size of the division.

The USA divisions are the next step of competition after the Open Division. This division gives teams the opportunity to compete and qualify for the USA division at the USAV GJNC. USA bids are exclusive to National qualifiers. A maximum of 3 USA bids will be given out in each USA division.

The Liberty divisions are the next step of competition after the USA Division. This new (2022) division gives teams the opportunity to compete and qualify for the Liberty division at the USAV GJNC. A maximum of 2 Liberty bids will be given out in each of the Liberty divisions.
